Using BeavEx's Branch Origination™ software, personnel at hundreds of retail branches create electronic bills of lading for shipping important documents, cancelled checks and deposits. These bills of lading are transmitted to the destination, the bank's item processing center, and to the owner-operator driver who services their location.

When the owner-operator driver arrives at the branch, his scanner already has the ID of the individual bags he is supposed to pick up. AS Transit™, our handheld barcode scanning application, collects the information from each stop. Stop ID, Bag type and ID, time, date and even signature are collected and forwarded to Accountability Suite™. The driver scans all bags into his possession. If the owner-operator driver scans the wrong bag, or the right bag but on the wrong route, he is notified there has been an inconsistency and can decide what course of action to follow at that point in time. Branch Origination™ virtually eliminates the chance that bags are picked up at the incorrect time, or are not picked up for delivery at all. Proof bags are placed and scanned into locked strongboxes that are secured to the vehicle.

The bank's item processing center staff uses AS Receive™ software to document their receipt of the delivered bags. The center staff scans the bags delivered by the owner-operator drivers; the bag IDs are matched with the IDs created by the branch to ensure that all expected deliveries have been received. AS Receive™ generates alerts for bags that are late into the center. As part of the day-end reconciliation process, AS Receive™ also generates On-time and exception reports documenting our performance.

AS Receive™ also supports the center's capacity planning. AS Receive™ takes digital weight input from a scale and converts that weight to an item count that can then be tied back to a route or a branch (stop). The system creates receive profile reports that document actual items received every thirty minutes. We work with processing center management to compare this actual data to expectations, identifying route changes to improve the receive profile.
